Our Data Protection Statement

This Statement is intended to explain our practices used for processing personal data, as defined under the General Data Protection Act (GDPR) and the Privacy and Electronic Communications Regulations (PECR).

Firstly, we know where our data is. It is held securely, inside our private network. It is never shared externally with any other service or organisation. This is categorical!

Secondly, we protect it to the best of our ability. Our staff are trained in respect to secure storage and usage of our data, to the highest practical standards. Like any computer based system anywhere, it would be disingenuous to claim 100% security - but we are confident that the effort required by an unauthorised person to get their hands on the data we hold would simply be far more than the value of anything we hold.

Thirdly, we only hold data concerning current, past and (hopefully) future supporters of our charity. If you are currently involved with our charity, as a donor, staff member, supplier etc., we will need to hold something about you to identify your involvement such that we are able to contact you, if necessary. We also hold basic email contact data that we occasionally send marketing-type emails to. We source our marketing contacts directly, ourselves, from events we run and from personal contact and research. For example, we may find contact email addresses on websites, social media platforms, referrals by donors and other email contacts. If we think the context we find it from is appropriate, i.e. matches our profile of a potential interested person, we will enter it into our database. We are pretty fussy with this - we don’t want to waste anybody’s time or be an unnecessary nuisance.

Fourthly, we do not hold any financial data about people. If you have made a donation or contribution in kind then, obviously, we retain this information, inside our network. But we don't hold anything about your credit / debit cards or any such financial knowledge. Donations made to our charity, through online or offline methods, are reconciled with our charity in due course, with no knowledge of the donors credit / debit / bank account details.

Fifthly, if you want to contact us to discuss anything about the way we have dealt with any details we might hold about you, including your rights for a copy of any information we hold and / or destruction of any non-essential information we might hold about you, you can contact us during UK office hours, by phone on +44 117 9733569 or by email.

Sixthly, we run regular training sessions, in-house, to try and make sense of the regulations we have to work with. If we make any mistakes, you can blame our CEO Evert Smith, who carries the can!
